Prepare website knowledge for useful answers
A small, maintained knowledge set starts with real questions and clearly approved answers.

Collect everyday questions
Start with questions people ask before making an enquiry: which services are available, which details are needed and what happens after the first contact? Group similar wording by the underlying subject. Two questions containing the same words can have different intentions. A carefully organised collection is more useful than a long, unchecked list of possible keywords.
Connect answers to sources
Give each question a current, published answer. A service description or approved FAQ entry provides a traceable starting point. Record who confirms changes. Prices and service scope should be repeated only as they are actually published. Missing details remain unknown; they should not be filled with a plausible guess. Someone reviewing an answer should be able to find its source.
State the boundaries clearly
Describe which questions the available knowledge cannot resolve. General service information, for example, is not an individual quotation. Unusual cases need a route to the team. The local website search matches terms to excerpts; it does not reliably understand every intention or negative statement. Showing the source excerpt helps the reader assess the answer in context.
Test different question types
Try a direct question, a differently worded version and a question outside the available knowledge. Include an example containing a negative statement. Check whether an unsuitable answer looks more convincing than it should. An honest statement that information is unavailable is better than a paragraph that shares a few words but misses the actual question.
Make maintenance someone's responsibility
Name an owner and review the collection after changes to services, prices or processes. Remove or revise contradictory entries. Quality depends on freshness and clear meaning, not simply the number of answers. Start with a few well-reviewed subjects and expand the collection using questions that actually arise in your business.
