Capture quote enquiries your team can act on
A useful first conversation gathers the need and makes the next human step clear.

Define the handover result
First decide what the quotation team should receive after the conversation. The aim is usually a clear description of the need, rather than an immediate price promise. Write an example of a useful handover containing the requested service, approximate scope, time window and unresolved questions. This gives the question sequence a concrete purpose instead of simply maximising the number of fields.
Ask for decision-relevant details
Choose information that actually affects the next step. Each question should help assign the enquiry or prepare a necessary follow-up. Information needed only later can wait. For selection questions, provide a way to express uncertainty or an unresolved preference. People should not have to force their needs into a category that does not fit.
Summarise without making promises
Clearly separate details supplied by the prospect from statements made by your business. A preferred start date is not confirmed availability. A stated budget is not an agreed price. Restate the need in understandable language and mark the open points. This gives the team something to review before preparing an individual offer.
Define a human handover point
Decide when someone takes over, such as unusual requirements, contradictory answers or no matching service. The handover needs a usable contact route and an identifiable owner. Do not include a response deadline that the team cannot support. Explaining the next action gives people direction without creating an unsupported commitment about timing or outcome.
Improve it with examples
Try a complete enquiry, an undecided prospect and a request outside your services. Can the team identify a useful next action from every summary? Remove questions whose answers are never used. The local workbench can structure information and show website knowledge; it does not send a quote enquiry or create a binding agreement. A real handover is configured and tested separately.
